An enterprise resource planning (ERP) system is software that integrates core business processes—like Finance and Human Resources—into a single connected platform. At UAH, our ERP modernization will replace outdated systems with a more streamlined and efficient way of working across campus. Why is UAH making this change? Our current systems limit our ability to work efficiently and effectively. A modern system will improve efficiency, provide better tools, and free up time for faculty and staff to focus on teaching, research, and service. When will it be available? The program is currently in the planning and design phase. Go-live for core Finance and HR functionality is planned for October 2027 with additional functionality to follow in the months and years afterwards. We’ll communicate well in advance when different functions will go live and when Banner will be phased out. What about the Student Information System (SIS)? Modernization of UAH’s legacy SIS is in scope for this program; however, this initial phase focuses on Finance and HR. Readiness planning for the Student Information System (SIS) will begin in October 2027 with a tentative go-live in late 2030 or early 2031. While Oracle’s next-generation SIS is currently still in development, it is expected to be available in advance of UAH’s targeted implementation. This timing offers us a unique opportunity to help shape a next-generation SIS tailored to our specific needs. How will we ensure success? We have put in the effort to create a strong foundation for this program because we know that success comes from planning, resources, effective governance, and community involvement, and that’s built into our approach. Some of the key steps we’re taking include: Partnering with experienced system integration experts to guide us through the process. Ensuring the program has the right resources and support from leadership. Carefully selecting team members with the knowledge and expertise to represent UAH well. Evaluating workloads and providing backfill where needed so those team members can focus on the program. Establishing a clear and permanent governance model to guide decision-making. Reviewing business processes and aligning them with best practices. Creating opportunities for faculty, staff, and student workers to share feedback, participate in design sessions, and receive training and support. This combination of planning, resources, governance, and collaboration means we’re being very intentional about how we approach this ERP modernization. Most importantly, we are committed to keeping the UAH community engaged, informed, and supported every step of the way. Impact on Faculty/Staff Will this change my job? The new system is designed to simplify processes, not eliminate roles. While the way some tasks are performed will change, the goal is to reduce manual effort so faculty and staff can spend more time on meaningful work. Will my workload increase? During the transition, there will be some extra effort as we learn the new system. However, the goal is to make processes more efficient long term, reducing the time spent on repetitive or manual tasks. What lessons have we learned so far from the HR, Finance, and Research implementations that we can use to prepare for the Financial Aid and Student implementations? What should we be doing right now? We will collect and share lessons learned as we progress through each implementation wave. Right now, you can start documenting your business processes formally to prepare. Also, you can start itemizing where SIS data lives and how they flow for future planning purposes. What if my office has a special need? How will you address it? The program team is committed to working with departments that have unique needs. These will be reviewed during the design and testing phases to ensure the new system can support the variety of work that happens across UAH. Will there be different levels of users and access? Yes. Access will be role-based, meaning you’ll only see the tasks and data that are relevant to your job responsibilities. This ensures both security and a simpler user experience. Training & Support Will I receive training? Yes. All faculty and staff who use the system will receive training tailored to their role. Training will begin well before go-live, with job aids and on-demand resources available anytime. How will training be conducted? Training will include a mix of formats: some live sessions, some recorded/on-demand, and some department-specific. Whether you are faculty, staff, or a student employee, you’ll have the resources you need in a format that works for you. Will there be support after go-live? Absolutely. We’ll have multiple support channels, including help desks, guides, and in-person assistance, to make sure you’re not navigating the new system on your own. Who will be the primary point of contact for this software concerning user questions? Your question will be sent directly to the appropriate project team for review and response. Where can I learn more about Oracle before training materials are available? We’ll provide recommended resources closer to training, including short overview videos. System & Access Why did UAH select Oracle as its Cloud ERP vendor? Several key factors set Oracle apart, including: Native support for complex federal grant and contract accounting requirements, providing a strong foundation for UAH’s research enterprise. A comprehensive and fully integrated data warehouse and management solution, simplifying efforts around data governance, ensuring integrity, and enabling high-quality reporting and advanced analytics. A broad suite of AI capabilities that support automation, predictive insights, and intelligent decision-making across administrative functions. A modern financial aid solution offering advanced automation and alignment with both local and federal aid requirements, thus outperforming competitors in this critical area. Why did UAH choose Oracle, especially since Oracle Student is very new? The recommendation for Oracle was made from a selection committee, with seven voting members: HR, Finance, 2 x Academic Affairs, IT, Faculty Senate, Research. The recommendation was 6 to 1 in favor of Oracle. While each evaluated vendor had their strengths and weaknesses, Oracle is a better fit to the specific current and future needs of UAH. There are 8 schools who are in early implementation of the Oracle SIS (Student Information System), with another wave of 6 schools to follow. UAH is also a member of the Oracle Student Strategy Council, informing Oracle on the development of the SIS. This presents an opportunity for UAH to be on the ground floor of a cutting edge SIS product. While nothing is guaranteed, based on the information available to us, we're confident Oracle SIS will be ready for UAH.. What will I be able to do in the new system? Common tasks such as entering time, submitting requisitions, approving expenses, or checking budgets will be available in one place, streamlined and consistent across campus. Will I lose access to old systems? Legacy systems will be phased out gradually, with clear communication and support during the transition. Historical data will still be available as needed. Will my data be secure? Yes. The new ERP is powered by Oracle, a leading global provider of secure cloud services, who follows strict data security standards. Will the Oracle system notify approvers that a requisition has been submitted and needs approval? Yes, the users with approval roles will recieve notifications when a requsitions has been submitted and requires approval. Participation & Communication How is UAH involving the campus community in this program? Faculty, staff, and student employees will be directly involved in design workshops, testing, and feedback opportunities starting in February. The new ERP is being built with the campus community, not just for it. What opportunities will we have to meet with the program team? Engagement is a top priority. We’ll offer workshops, listening sessions, and feedback channels throughout the program. Your input will directly shape how the new system works for UAH. How will I stay informed? Is there a mechanism by which any faculty or staff member can submit ideas for process changes in UAH's HR, Finance, and Procurement areas? Many processes, procedures, policies, and workflows will be different in ChargerLink as we re-align some duties and responsibilities to align with best practices. Legacy Software Questions Is TimeClock Plus going away as a result of this implementation? If so, what will that change look like? This is still being determined by the project team. More information will be shared as decisions are reached. Will ChargerLink replace Kuali Build forms? Should I keep digitizing our forms now? Kuali Build forms are not going away, so you should continue digitizing your forms. Some forms may no longer be needed because the work will move into ChargerLink, and others may need minor updates if they currently connect to Banner data. Departments will review their Kuali Build forms after ChargerLink design and testing to decide what to keep, update, or retire. Public Safety utilizes a third party software (AIMS) for the Parking Portal. How will this type of software be implemented into Oracle? ChargerLink will not replace the parking portal's 3rd party system. Banner Navigator is used for FUPLOADS. How will these processes change with the new ERP? Similar to the FUPLOAD in Banner, Departments that regularly do internal billing to Campus users will follow a similar spreadsheet upload process in ChargerLink. There may be other pieces of information to this answer, but we need confirmation from William and Phil. Will performance management be part of ChargerLink, or will we continue using PageUp? We’ve heard that performance management may move into ChargerLink, but we also recently received an email about the launch of PageUp Performance. How do these systems fit together, and is PageUp going away? Performance Management will not be included in Wave I of the Core HCM implementation. It is planned for deployment in Wave I(B), with the expected completion timeline to be determined at a later date. Will Research Centers be able to continue using TARDIS for timekeeping, or will time entry move to Oracle? If Oracle is used, how will it meet the unique needs of contract‑ and grant‑funded research work? The University is reducing the number of legacy systems and moving toward secure, well‑supported solutions that can scale over time. TARDIS is currently being evaluated to determine whether it can continue to be used for research time entry alongside ChargerLink, and no final decision has been made. Oracle’s Labor Distribution module is being designed to handle how labor costs are budgeted, allocated, and reported across contracts and grants. This allows time entry to stay as simple as possible for researchers and supervisors while still meeting research budgeting and compliance needs. Will travel authorizations be processed through the first wave of the ERP? Yes, they will be processed through Oracle Expenses along with expense reports.
