In preparation for year-end, the Procurement & Business Services Department (Mail Services) has begun tracking and monitoring the delay of mail being received. Presently, Mail Services is seeing delays of anywhere from two to eight weeks.
Mail Services has explored options to remediate the delays in receiving mail and is recommending the following:
1. All checks/funds should be sent either FedEx Express or UPS ground.
2. Starting the week of September 16, mail from vendors that is important should be sent UPS Next Day Air or FedEx Express. (NOTE: UPS Next Day Air will be the first recommendation for on time arrival over FedEx Express.)
3. USPS is not recommended since mail sorting facilities are overwhelmed and mail already does not arrive in a timely manner.
4. If there is funding currently in the USPS system, please wait until September 16 for receipt to get as much as possible through the USPS system before a vendor resends mail to campus via UPS or FedEx or cancels a check.
Mail Services understands that there may be some opposition to sending mail via FedEx or UPS due to the costs, but these recommendations may help in ensuring mail is received in a timely manner.
