What is the Change?
In Oracle, users will be guided through entering their travel information and will now have mobile options and easier integration with the University’s corporate card system.
Why is this a Win?
This will increase the confidence of travelers to know that they are compliant with policies and that they will receive their reimbursement in a timely manner.
Who is Impacted?
Campus-wide impacts: Any faculty, student, or staff member who travels for UAH.
HR Benefits
Timesheets: Exempt employees (non-research) will no longer submit timecards, only absence requests, reducing administrative efforts. Non-exempt/hourly employees will still submit timecards, but will receive notifications for approvals or rejections, eliminating manual follow-up.
FIN Benefits
Expense Reports: Expense Report Auditing will include rules such as flagging missing receipts, specific expenses, dollar amounts, etc.
Vendor/Supplier: Suppliers will be able to register themselves and manage their own records. This will save considerable time for the UAH Procurement team and any faculty/staff that interact with vendors.
Cash Management: Bank statement lines will directly integrate into Oracle Cloud Cash Management. This will enable real-time reconciliation, cash clearing accounting for subledgers, and a greater confidence in the accuracy of our cash balance. The Accounting and Financial Reporting team, as well as the Bursar and Financial Aid offices will realize the most benefit from this change.
Institutional Support Funds: In Oracle, there will be one Institutional Support Funds (ISF) project to spend from. "Fund" will be used to track pots of money, and "Org" will be used more consistently. Secondary segments will be tracked at the project level, and dedicated reporting will be available for awards and projects. This will have campus-wide impacts: Startup (Academic Affairs), Discretionary (PIs, Researchers), and Internal Research (OVPRED).
