Notification Protocol

  1. If a faculty, staff, or student in a university building notifies you that the individual has had an exposure (close contact) to a positive COVID-19 case or has a positive COVID-19 lab result, notify the university as soon as possible. Provide information on when the individual you are reporting was last on campus, in which buildings, the areas in the buildings the individual spent more than 15 minutes, and whether the individual was wearing a mask.  Provide any information available about the other members of the university community with whom the affected individual had close contact.
    1. For faculty and staff, notify: Associate Vice President for Human Resources: Ms. Laurel Long at longl@uah.edu  or 256-824-6545 (email preferred).  Encourage the faculty or staff to call the Faculty and Staff Clinic at 256-824-2100
    2. For students, notify: Dean of Students, Dr. Ronnie Hebert, dos@uah.edu or 256-824- 6700.  Encourage the student to contact the Student Health Center at 256-824-6775, Ext 3.

  2. The Associate Vice President for Human Resources and the Dean of Students will notify the Office of Environmental Health and Safety (OEHS) and provide building information. The UAH Police Department will provide back up to OEHS.
  3. OEHS will contact the Office of Risk Management who will determine if further notifications are required. The co-chairs of the Incident Command Center (Communicable Disease Management Team) will serve as back up for the Risk Manager: the Vice President for Student Affairs for the Student Affairs buildings and residence halls and the Provost and Executive Vice President for Academic Affairs for the Academic Affairs, Research, and Administrative buildings.
  4. Close contacts and those in the same classroom, laboratory or studio, or who attended the same event who are university faculty, staff, and students will be notified. Close contact is defined as an individual who has been within six feet of proximity of an individual who tested positive for COVID-19 for more than 15 minutes.  Wearing face coverings may mitigate the risk of exposure to some degree.  Notifying individuals in the university community who may have come in contact with an individual who tested positive is being done by the university as a courtesy to our students, staff and faculty and is not contact tracing which is the responsibility of the Alabama Department of Public Health.  Examples of groups of individuals who may be contacted by the university include the following list. Information about the identity of these individuals can be obtained from the entity given in parentheses
    1. Suitemates in a residence hall or in sorority or fraternity housing (Housing or Dean of Students)
    2. Officemates (Vice President Offices/College, Center, or Office/Departments or other subunits)
    3. Classmates and instructor in a classroom or seminar room (Registrar)
    4. Persons in the same research, teaching, or computer laboratory or studio and person in charge of the laboratory or studio (Vice President Offices/College, Center, or Office/Departments or other subunits)
  5. In addition, those who attended the same event as an individual who has tested positive for COVID-19 will be notified that an individual at the same event tested positive for COVID-19. The attendee lists are available from the Office of Student Affairs for social events and from the Office of Academic Affairs for academic events.
  6. Students, faculty, staff, and event attendees will be alerted to the possibility of exposure and asked to complete the Charger Healthcheck every day for the next 14 days.
  7. The method of communication will depend upon how widespread and urgent the notification needs to be.
    1. For those in the university community who were in close contact and who need to be quarantined, an immediate e-mail using the official UAH e-mail system, phone call or text message with an acknowledgement is required. After the Risk Manager has made the initial contact with individuals in the university community who were likely to be in close contact with the individual who tested positive for COVID-19, the Risk Manager will contact Student Health Clinic and/or Faculty/Staff Clinic.  Student Health Clinic and/or the Faculty/Staff Clinic will follow up.   Example: suitemates, officemates, individuals sharing a small laboratory, etc. 
    2. Students and instructors in the same classroom, laboratory, studio, etc. or individuals who attended the same event as an individual who tested positive for COVID-19 will be notified via e-mail using the UAH e-mail system and encouraged to be alert to the symptoms of COVID-19. They will be encouraged to complete the Charger Healthcheck every day for the next 14 days.
    3. Only in unusual circumstances is communication needed beyond the close contacts and those in close proximity of an individual who tested positive with COVID-19.  When such communication is needed to notify additional individuals, an e-mail notification from the UAH e-mail system will be used.

Building Protocol

  1.   3. OEHS will contact the responsible individual(s) in the buildings where the affected person was located and determine the appropriate cleaning procedure, following the Building Cleaning Protocol: Interim: Internal OEHS Procedure when notified of a COVID19 case.

  5. OEHS will place signage on the locations requiring cleaning. Signage on the outside of the building will indicate the spaces being cleaned.
