TO POST AN ON-CAMPUS JOB:

  1. Returning users sign in to Charger Path. New users must register for an account, which will be reviewed by our office. Once approved, you will be issued a username and password. Return to the system and follow the steps below.
  2. Click on the Non-OCR (Post a Job) tab at the top of the page.
  3. Under the "Single School Postings" tab, click Add New button.
  4. Fill out form and click the submit button. Your posting must be reviewed and approved by our office before any further action. Once approved, you will receive an e-mail with further instructions.

REVIEWING APPLICANT MATERIALS:

  1. Returning users sign in to Charger Path. New users must register for an account.
  2. Select Non-OCR (Post a Job) from the top toolbar.
  3. Select "Student Resumes (Non-OCR)" tab.
  4. In the "Documents" column of the table near the bottom of the page, select the page icons to view student documents.
  5. In the "status" column, select the options in the drop-down box to help you organize the students. Students will NOT receive notification of your decision through the system. You must e-mail or call them directly if you would like to speak with them.

TO HIRE STUDENTS:

Students must be currently enrolled/taking classes at UAHuntsville to be hired as student employees. (For summer hires, students who took classes at UAHuntsville in the Spring and are enrolled for classes at UAHuntsville in the Fall may be hired and/or their student positions can carry through the summer term.) NOTE: It is the responsibility of the department to ensure that students are currently enrolled during each semester in which they are employed.

ALL STUDENTS EXCEPT THOSE HOLDING F-1 AND J-1 VISA STATUS

  • Students may have more than one on-campus job, but cannot work more than 32 hours a week; however, no more than 20 hours is advisable with full-time enrollment.
  • Students are not eligible for benefits.

REQUIRED DOCUMENTS

  • 4 copies of PAF on blue paper (3 copies sent to Student Success Center and 1 copy retained by department)
  • 2 copies of job description (1 copy sent to Student Success Center and 1 copy retained by department)
  • Student application packet (which includes drug form)
  • The student must go to Payroll (Shelbie King Hall, Room 151) and fill out the W-4 and A-4 withholding forms.
  • Be sure to ask if student has worked on campus before.
  • If the student has worked on campus before, check with Human Resources (824-2282) to see if the student has a current I-9 on file with the university. If they do have one on file, fill in the I-9 date on the PAF.
  • A new student worker must go to Human Resources (Shelbie King Hall, Room 102) to fill out an I-9 form if they do not have an I-9 on file.

ALL STUDENTS HOLDING F-1 AND J-1 VISA STATUS

  • Individuals holding F-1 and J-1 student visa status may work a maximum of 20 hours per week during full-time enrollment.
  • Students are not eligible for benefits.
  • After the student has been offered a job they must obtain three signatures on their application:
    1. Student must obtain a signature from the International Student and Scholar Office (University Center, Room 200)
    2. They must have their application signed by Payroll (Shelbie King Hall, Room 151) and complete applicable alien tax information form, W-4, and A-4 withholding forms.
    3. The student must have his/her packet signed by Human Resources (Room 102) and fill out an I-9 form if they don´t have one on file from working on campus before.

NOTE: All U.S. citizens and all non-U.S. citizens MUST complete an I-9 Form within three (3) days of being hired for any employment.

The SSC will review the PAF, application, Job Description Form to confirm the student´s eligibility. Any problems will be reported back to the individual who prepared the PAF and the PAF will be held until the problem is corrected. Once verified as accurate/complete, the documents are sent to Payroll and Human Resources.

Procedures for Reappointing Student Workers

  • To continue a currently employed student into a new budget year or after his/her original appointment has expired, the department creates a new PAF with an Action Code B. A reappointment with a merit increase has an Action Code J. Send three (3) copies of the PAF on blue paper to the Student Success Center and keep one copy in the department.

Procedures for Promoting/Reclassifying Student Workers

  • Students may be promoted if there have been significant changes in their responsibilities related to skills, experience, supervision, or work levels. In rare cases this may occur after a semester, but would more likely occur after at least two semesters. Departments must create a new PAF with an Action Code of H, and a new Job Description. Three (3) copies of the PAF and the new Job Description are sent to the SSC and keep one copy in the department.

Students who will be regular or routine drivers of University vehicles must complete a Motor Vehicle Record Release/Request Form and be approved before being hired.
