Area Coordination Teams

Members of the Area Coordination Team will provide expertise in the functional areas. In addition, Area Coordination Team members will work cooperatively with the Area Coordination Team manager, staff from related functional areas and the SCT Business Process Analyst to document current business processes and to identify processes that can be streamlined.

This team is responsible for defining policies and procedures and developing detailed user task assignments and timelines for project implementation. The team members are also responsible for ensuring that each work team completes the tasks required to implement the system as planned.

The Area Coordination Team members are responsible to the Implementation Management Team for assignments, are authorized to make operational decisions within their functional areas, and can recommend organizational and/or business practice restructuring when appropriate.

The Area Coordination Team will organize specialty Work Teams to handle those projects identified throughout the implementation life cycle and define the associated tasks necessary to complete each project.

The committee is responsible for the proper implementation of the component application. The committee is responsible for the proper documentation among and between its' supporting Work Teams to ensure those issues particular to their application area are fully dealt with.

The Area Coordination Team manager is a member of the Implementation Management Team and is accountable to the Implementation Management Team.

Members of the Area Coordination Team may be required to dedicate up to 80% of their time to this project.

The Area Coordination Team will::

  • Appoint Work Teams as needed, providing direction for assigned tasks and overseeing progress
  • Identify issues, develop tasks and assign responsibility to the Work Teams
  • Review problems and issues, then make recommendations to the Implementation Management Team when necessary
  • Maintain communication among and between team members and the rest of the user community
  • Ensure the completion of major tasks (Forms, Database Definitions, Procedures, End User Training, Interfaces, Security, Conversion/Testing, Reports, Other)
  • Make decisions by consensus
  • Attend the Systems Education provided by SCT
  • Provide status and progress reports to the Implementation Management Team
  • Validate work performed by the Work Teams
  • Maintain documentation of all implementation activities
