Voice Mail Instructions

Faculty and Staff

  • Accessing voicemail:  You can access voicemail from any phone at UAH by dialing 2000.  To access voicemail from any off-campus phone, dial 824-2000.  Your mailbox number is the same as your extension.  For example, if your phone number is 824-7551, then your mailbox number is 7551.  You have to enter your password to retrieve messages.  You may change your password after logging onto the system by dialing 8* after the prompts.  A broken dial tone, or "stutter" on single line telephones signifies that you have a message.

  • Playing messages:  After you have accessed voicemail and entered your mailbox number and password, voicemail will provide you some brief information, press 2 to play your messages.  To have the messages repeated, press 2 again.  To delete the message after you have listened to it, press 76.  To help preserve system integrity and storage capability, delete your messages immediately after listening to them.  To log off the system after listening to your messages, press 83.  Do not just hang up.  (However, if you cannot use 83, then just hang up the receiver).

  • Recording greetings:  To record your internal and external greetings, access the system and press 8*.  After the prompt, press 2 to record a greeting.  Then press 1 to record an external greeting or 2 to record and internal greeting.  To start recording, press 5.  to end recording, press #.
A suggested greeting is:  "Hello, this is John Smith.  I'm either away from my desk or on the phone right now.  At the tone, please leave a message."  If you are on the phone and receive another call, the call will "hunt" to your voicemail.  (You do not have call waiting).

  • Deleting messages:  Your read message retention has been set to five days, which means that after you have listened to a message, if you do not delete it yourself, the system will delete it for you after five days.  If you delete a message and log off the voicemail system, the message cannot be "regenerated" or got back--it's gone forever.

  • Accessing voicemail:  To access voicemail, dial 2000 from the phone in your room.  A broken dial tone or "stutter" indicates that you have a message.  You can still dial out as you normally do even when this stutter tone is running.  However, if you attempt to use a modem and the stutter tone is in effect, you will not be able to dial out.

  • Playing messages:  After you have accessed voicemail, you will hear some brief information about your messages.  After hearing this information, press 2 to play your messages.  To repeat the message, press 2 again.  To delete the message after listening to it, press 76.  To help preserve system integrity and storage capability, delete your messages immediately after listening to them.  To log off the system after listening to your messages, press 83.

  • Recording greeting:  To record your internal and external greetings, access the system and press 8*.  After the prompt, press 2 to record a greeting.  Then press 1 to record an external greeting and 2 to record an internal greeting.  To start recording, press 5.  To end recording, press #.
A suggested greeting is: "Hello, this is John Smith.  I'm not able to answer the phone right now.  At the tone, please leave a message."  If you are on the phone and receive another call, the call will "hunt" to your voicemail.

  • Deleting messages:  Delete all messages from the system immediately after listening to them.  Do Not use the voicemail system as a "file cabinet" to store messages.  The maximum length of an incoming message is 1 minute.  Your read message retention has been set to five days,  which means that after you have listened to a message, if you do not delete it yourself, the system will delete it for your after five days.  Each mailbox is allocated a total of 15 minutes of voice storage space.  The message deleting feature kicks in only after you have listened to your messages.  If you delete a message and log off the voicemail system, the message cannot be "regenerated" or got back--it's gone forever.
